Privacy Policy
Last updated September 5, 2026
LandlordFlow is rental bookkeeping for independent landlords. This policy explains what we collect, why we collect it, and how to get rid of it. It covers both the website at landlordflow.app and the LandlordFlow iOS app.
The short version
- We do not sell your data, and we do not share it with advertisers.
- We do not track you across other companies' apps or websites. The iOS app contains no advertising or analytics SDKs of that kind.
- Everything we store is there to run the service you asked for — your properties, tenants, rent and expense records.
- You can delete your account, and everything in it, from inside the app.
What we collect
Information you give us
- Account details — your name, email address, phone number and business address.
- Portfolio records — properties, units, leases, rent payments, expenses, maintenance requests and insurance policies you enter.
- Tenant and applicant records — names, contact details, lease terms and rental applications that you, as the landlord, enter or receive.
- Documents and photos — files you upload, such as leases, receipts and maintenance photos.
Information collected automatically
Standard server logs (IP address, browser or device type, timestamps) kept for security and debugging, and basic product analytics recorded without personal identifiers. The iOS app records anonymous feature-usage events — which screens are opened — with no names, addresses or financial figures attached.
Why we collect it
Solely to provide the service: to keep your records, show your rent roll, generate Schedule E reports, send the reminders you switch on, and support you when something breaks. We do not use your data for advertising, we do not build profiles, and we do not use it to train machine-learning models.
Tenant information
Some records you enter are about other people — your tenants and applicants. You control that information; we hold it on your behalf and use it only to provide the service to you. You are responsible for having a lawful basis to collect and store it, and for handling it in line with the landlord–tenant and privacy laws that apply where your property is.
Who we share it with
We share data only with the service providers needed to run LandlordFlow, and only so they can perform that work:
- Supabase — database, file storage and authentication.
- Resend — transactional email, such as confirmation and reminder messages.
- Stripe — subscription billing on the web. Card details go to Stripe directly; we never see or store them.
- Apple — subscriptions bought in the iOS app are processed by Apple. We receive whether a subscription is active, not your payment details.
We will also disclose information where the law requires it. If the business is ever sold or merged, your data may transfer with it, and this policy travels with the data.
Where it is kept, and for how long
Data is stored on servers in the United States. We keep your records for as long as your account is open. When you delete your account, your portfolio, tenant records and uploaded documents are deleted; backups roll off within 30 days. Some records may be kept longer where we are legally required to.
Deleting your account
In the iOS app: More → Settings → Delete account. On the web: Dashboard → Settings. This removes your account and its data permanently and cannot be undone. Cancel any active subscription first — deleting the account does not by itself stop billing. Subscriptions bought through the App Store are cancelled in your Apple Account settings.
Your rights
You can access, correct, export or delete your information. Most of this is available directly in the app; for anything else, email us and we will action it. Depending on where you live you may have additional rights under laws such as the GDPR or the CCPA — including the right to object to processing and to lodge a complaint with a regulator. We do not sell personal information as those laws define it.
Security
Traffic is encrypted in transit, data is encrypted at rest, and access to your records is restricted at the database level so that one account cannot read another's. The iOS app can additionally be locked behind Face ID or Touch ID. No system is perfect, and we will tell you promptly if a breach affects your data.
Children
LandlordFlow is a business tool for adults and is not directed at children. We do not knowingly collect information from anyone under 18.
Changes
If this policy changes materially we will update the date above and notify you in the app or by email before the change takes effect.
